WHO IS THE CURRENT PROPERTY FACTOR

They have replaced Charles White Ltd. since August 2021. They should be in touch if you recently purchased a property, but you are welcome to reach out to them yourself.
WHERE DO I REPORT BUILDING OR COMMUNAL ISSUES
Ethical Maintenance maintains a reporting portal, which you should use before calling their phone line if possible: https://ethicalmaintenance.fixflo.com/
If you don't have access to this system, please request an account for yourself by mailing mail@ethicalmaintenance.org. Please keep in mind, this portal is reserved for property owners, tenants should instead get in touch with their property managing agent or landlord.
HOW DO I REPORT SECURITY INCIDENTS
For emergencies, you should continue to use 999. The development has access to a 24/7 security service, which responds to emergency callouts. The current provider is Safer Scotland and can be contacted on the phone number marked on their plaques on doors and sheds. However, if your personal safety is at risk, Police Scotland should be contacted. For property damages, nuisance, communal ASB, theft, etc. you can call the security company and they will raise the incident with the Police.
MAKING INSURANCE CLAIMS
The development is covered for property claims under a shared buildings insurance policy. This is currently provided by AXA. They can not be contacted directly, if you have a claim to make, please raise it as a claim type case on Ethical Maintenance's portal. Please note, that this policy does not cover contents damages and you should have a contents insurance policy in place privately if you wish to make claims for item damages.
OBTAINING PROPERTY DOCUMENTATION
Most property-related documentation, such as insurance, fire safety forms, contractor details and title deeds are held by the property factor (this is currently Ethical Maintenance). However, some documentation can be obtained from other residents on the Slack channel more quickly. There's also a number of documents, that the factor does not hold. We are happy to supply these, in case we have them.
WHAT ARE THE PROPERTY-RELATED CHARGES
The current charges for all properties in the Aspect will always include communal maintenance, factoring, shared utility and project fees. All of these costs will be billed to you by the property factor on a quarterly interval. Charges will vary depending the size, location and supplier use of your flat. The block insurance fee will also be billed to you once per year by the property factor.
